Schedule Your Move

Please schedule your move-out using the links below. You must complete this step prior to submitting your Notice to Vacate form. Please do not book more than one standard move. If you require more time to move furniture, please book furniture moves after your first standard move.

Swindoll (Standard Move)

This is a four hour move reservation that includes an elevator reservation and access to the loading dock. Unless a separate Keys reservation is booked, keys must be dropped off at the end of this move.

Washington (Standard Move)

This is a four hour move reservation that includes access to the loading dock. Unless a separate Keys reservation is booked, keys must be dropped off at the end of this move.

Swindoll (Keys Only)

This is a reservation to drop off your keys at the Housing Office (8-4:30pm). Though the reservation will say 7:45-8am, the keys can be dropped off at any time during the day of the reservation.

As always, please remember any given move season may have hundreds of moves, and every move impacts other moves, families, and staff members. Changing or cancelling your move date will incur a $50 fee.

Submit Your Notice

Notice to Vacate forms can be found in your AppFolio portal under “Contact Us”. For detailed information navigating to this form in AppFolio, please see Using AppFolio.

This Notice to Vacate form must be submitted with an accurate, scheduled move-out date included in order for a resident to give proper notice. For this reason, please make sure to schedule your move-out date (Step 1 above) before you submit your Notice to Vacate form.

Failure to give a 60-day written notice will result in rent charges for 60 days from the date the valid Notice to Vacate was submitted. 

Prior to Moving Out

Complete Apartment Care: Your lease requires that you complete the perform the proper move-out procedures.

Before vacating, the resident is required to: 

  1. Run the oven’s self-cleaning cycle 24 hours before the resident’s departure. 

  2. Lightly clean the apartment (sweep floors, clean toilet, fridge, sinks, tub, countertops, excessive grease, etc).*

  3. Remove all belongings and trash from the apartment. 

  4. Submit work orders if necessary for any bulk trash removal (priority given based on move date). 

*The apartment will be cleaned professionally after move-out. However, sustained damage due to lack of cleanliness, sanitation of the resident, or failure to report pest problems to the Housing Office will result in charges for any associated cost of repair. Residents are also liable for additional cleaning costs beyond a typical move-out cleaning job.

Confirm Move-Out Logistics: The Housing Office will reach out within a week of your move date in order to confirm the logistics of your move. If you have questions about your move prior to this, please contact the Housing Office. 

Loading Dock Key: Check out a loading dock key from the Housing Office at least 24 hours before your scheduled move, if applicable. 

Pay Outstanding Balance: Please take care to pay off your outstanding balance before you leave, keeping in mind that it is against the law for your security deposit to be used to pay off your last month’s rent.

  • Rent will be pro-rated based on move-out date. If all Residents in a unit are moving out, rent will be pro-rated based on the last Resident’s move-out date.
  • Charges left unpaid will be taken out of the security deposit or, if it exceeds the security deposit, will be transferred to the Resident’s DTS student account.

Moving Reminders

  1. Residents who have not completed the move by the end of the scheduled move reservation will be charged a Tier 4 violation fee (see Lease Section 5.1). The resident must then schedule another move time to complete the rest of the move, and must pay the prorated rent associated with the new move date.
  2. Your access devices (apartment iButton, building fob, mailbox key, parking hangtag, as applicable) must be returned at the end of your move to the Housing Office. If your move is after business hours, please contact the Housing Office to make arrangements.
  3. The loading zone in the parking lot is only available to the residents during the scheduled move reservation. All vehicles and moving trucks must be removed from this zone by the end of the resident’s move reservation.
  4. Any parking violations of movers found blocking the trash pick-up area in Swindoll Tower will receive a charge of $350 to the resident’s online portal. Blockage of this area prevents routine garbage removal by the building’s third-party vendor and causes serious back-up of the building trash chute.

Security Deposits

Please make sure to fill out the proper banking information when you submit your Notice to Vacate form in AppFolio. International students without domestic banking options must fill out an additional form.

Please wait until 30 days have passed before contacting the Housing Office about your deposit. For more information about security deposit reimbursements, please see Charges Explained.

Early Termination (Breaking your Lease)

In the event a resident breaks their Lease and moves out before the Lease end date without paying rent in full for the entire Lease:   

  1. The resident is responsible for monthly rent payments until the apartment is re-rented or until the end of the Lease term (whichever comes first).   

  2. The Housing Office will work to mitigate damages by making the unit available to other qualified residents as well as applicants.   

  3. The resident must pay an early termination fee equal to one month’s rent. 

  4. If the resident is a DTS student, any remaining unpaid balance will be transferred to the resident’s student account. If the resident is not a DTS student, unpaid charges will be sent to a collection’s agency. 

  5. The departing resident may not be eligible for on-campus housing in the future. 

  6. In the event a resident’s roommate breaks the Lease, the remaining resident is not responsible for the financial obligations of the departing resident. However, if the remaining resident is found to be using the vacated space, the remaining resident will be fined for this violation. 

The resident has the right to terminate the Lease without financial penalty in situations involving military deployment or transfer.

In the event the building becomes uninhabitable, all parties to this Lease will be released from the contract without prejudice or recourse.
