Having trouble understanding your account balance?
Occasionally, residents who share an AppFolio portal (which is everyone who shares a given lease) may find that they need to conduct a ledger reconciliation. A ledger reconciliation is defined as an accounting process comparing charges with credits and payments to ensure they are correct and in agreement. This is often done to clarify the balance owed by multiple residents in an apartment, and should be conducted by residents as often as necessary to pay their respective charges owed on time. Housing does not get involved in financial transactions between residents and therefore residents are responsible for dividing the charges owed and ensuring payments are made on time.
Assisted Reconciliations
In more complex cases, the Housing Office can assist residents with a ledger reconciliation for a $50 fee. This fee will be charged to the apartment’s account ledger each time an assisted reconciliation is completed.
If it is discovered the Housing Office has made an error on the apartment’s account ledger contributing to the need for the reconciliation, no Ledger Reconciliation Fee will be charged.
All charges are still subject to late fees per the lease terms, even during an assisted reconciliation.
It is ultimately the responsibility of the resident to pay their charges owed according to the terms of the lease. DTS Housing is happy to assist with navigation of AppFolio portals and explanations of overall charges, credits, and payments. Residents should plan ahead when requesting assistance, exceptions, or facilitating third party payments to ensure to the best of their ability that their payments are paid on time. Residents are highly encouraged to communicate frequently with the Housing Office when they believe they may need assistance.
What questions can the Housing Office answer without charging for an assisted reconciliation?
We are happy to walk through your ledger with you so you understand how to find it in AppFolio, how to read it, and how to understand your charges. We can tell you how much you have been charged (e.g. your September rent charge, your October late fee), but we cannot tell you how much you owe at a given point in time without conducting a paid assisted reconciliation. This is because how much you owe is influenced by your payment history since you moved into Housing (e.g., if at any point one or more of your roommates paid the wrong amount to settle the balance, this could change the amount that you owe today). For this reason, we will not answer questions about how much you owe without conducting a paid assisted reconciliation.
